You'll also coordinate with external counsel, advisors, customers, partners, and investors.
Success means anticipating needs, exercising sound judgment, protecting confidential information, and enabling the Legal team to operate effectively across competing priorities.
What you'll be doing
Calendar and Prioritization
- Own a complex, fast-moving calendar across internal and external stakeholders in the US, Europe, and other global time zones.
- Prioritize the SVP, Legal's time against legal, governance, commercial, and corporate priorities.
- Anticipate conflicts, dependencies, and time-sensitive deadlines, resolving scheduling challenges proactively and with minimal guidance.
Travel and Executive Operations
- Coordinate domestic and international travel, including multi-leg itineraries, visas, and last-minute changes.
- Prepare and submit expense reports for the SVP, Legal.
- Track Legal department budgets and invoices with close attention to detail.
- Maintain organized, secure records and workflows for sensitive legal and executive materials.
Legal Operations Support
- Manage contract workflows in Ironclad, including routing agreements for review and approval, tracking status, and maintaining the contract repository.
- Coordinate signatures, NDAs, Board consents, and the execution of corporate documents.
- Support external-counsel administration, including engagement letters, invoice review, and matter tracking.
Communication and Meeting Coordination
- Coordinate logistics for Legal team meetings, and external-counsel briefings.
- Prepare agendas, take meeting notes, and track action items to support follow-through and accountability.
- Draft polished correspondence independently on behalf of the SVP, Legal.
- Collaborate with other Executive Assistants to streamline executive and departmental workflows.
What success looks like
- The SVP, Legal's calendar reflects their priorities, with conflicts resolved before they become problems.
- Committee, and external-counsel meetings run smoothly, with materials distributed on schedule and no missed deadlines.
- Expenses, invoices, and budget tracking are accurate and on time.
- Confidential materials are handled securely, and action items are followed through to completion.
About you
- 10+ years of experience supporting a General Counsel, Chief Legal Officer, or other senior executive in a complex global organization.
- Proven experience managing complex calendars, international travel, and high-volume senior stakeholder interactions.
- Advanced proficiency in Google Workspace and comfort using Slack and Microsoft Teams.
- Exceptional organizational skills, with the ability to manage competing priorities calmly and accurately.
- Discretion in handling sensitive legal, corporate, financial, and personnel information.
- Strong written and verbal communication skills.
- Confidence when interacting with Board members, external counsel, investors, and senior leaders.
- Strong attention to detail, proactive problem-solving ability, and personal accountability.
- Ability to work from Nscale's San Francisco office at least three days per week.
- Flexibility to work outside standard Pacific hours, including early mornings to overlap with London and Europe and occasional evenings for APAC.
- Comfortable with occasional travel, up to four times per year [e.g., to our London headquarters and company offsites].
Preferred experience
- Experience in technology, financial services, professional services, or high-growth companies.
- Experience supporting legal, corporate governance, compliance, or Board processes.
- Working knowledge of Ironclad or a comparable contract lifecycle management (CLM) tool.
